How Nexford runs learner success

A codified operating system, end to end — built ground-up for a digital-online university and running in production today.

01 · The brief

Every learner enrolled to change their career.
Most need help getting there.

The Nexford learner is a working professional betting real time and real money on a credential that unlocks a better job, a promotion, or a career pivot. Four things stand between enrolment and that outcome.

THE GOAL
A degree is only worth what it unlocks
Career goal → target role Skills-to-role mapping In-programme coaching Graduate outcomes

The Nexford learner isn't studying for a grade. They're building toward a promotion, a pivot, a new chapter. Career destination isn't the fourth problem — it's the only reason the first three matter.

OBSTACLE 01
Lost before the transformation begins
51% of all churn Days 1–10 FASS window

Most drop-outs happen before the programme has changed anything. They came for a career shift and disappeared before it could start. Silent, invisible — and predictable.

OBSTACLE 02
Falling behind feels like failing
CGPA below 2.0 Missed submission SAP threshold

A missed assignment, a slipping grade — these are signals weeks before a formal outcome. Without early detection, they become dismissals. The credential never comes. The career move doesn't either.

OBSTACLE 03
Life doesn't pause for a deadline
LOA · Extension Hardship flag Withdrawal

A job change, a family crisis, a financial squeeze. The learner doesn't want to leave — they need a route through. Admin friction shouldn't be what ends a career ambition.

02 · Today

The infrastructure is already built

Nexford runs learner support as a documented operating system — every touchpoint has a trigger, an owner, the right tools, and a measured escalation path. This isn't a plan. It runs in production across 80+ countries today.

41

Career destination
Career support is built into every stage
Career touchpoints Months 4–24 · Skills-to-role mapping · With AIOS: from Day 1

A learner who can see their career goal on the other side of the programme persists. Career support is not an add-on; it is the primary retention mechanism — and with AIOS, it starts at enrolment.

Silent drop-off
Four touchpoints cover the highest-risk window
T01 Welcome · T05 Onboarding call · T07 Day-5 wellness · T08 Buddy match

The FASS window — Days 1–10, first assignment — has the highest intervention density in the entire journey. Every touchpoint has a trigger, a tool, and a named owner.

Academic risk
SAP runs as a system, not a judgement
T21 SAP review · 11-step process · Named owners · Academic warning → Suspension → Dismissal

The signal — a missed assignment, a slipping grade — is visible weeks before a formal outcome. The codified process catches it. Not informally in a senior advisor's head.

Life events
Every exit route has a codified path
LOA · Programme withdrawal · Hardship advising · Readmission

A pause doesn't have to become a permanent exit — if the friction is removed. Every route a struggling learner might need is documented, owned, and triggered correctly.

The system works. 61.9% of enrolled learners reach 90 days. The remaining gap — 780 learners stalling before their first assignment, half of all churn, concentrated in a 10-day window — is the specific problem AIOS is designed to close.
03 · The AIOS Model

Two architectural moves, paired

Today's system handles thousands of learners well. To support tens of thousands without adding headcount, the operating model shifts — onboarding becomes the data layer, and MyNXU becomes the support surface.

Onboarding becomes the data layer

Capture the learner's working life, study time, motivations, sector, role, support preferences — before the first class. Each input removes a future human touchpoint and feeds the risk model that catches wobbles later.

MyNXU becomes the support surface

Put routine support directly in the learner's hands — first 10 days, buddy, wallet, self-service requests, help hub. The Student Advisor remains, but concentrates on the 10% of learners where a human conversation actually changes the outcome.

04 · The bridge

How onboarding and MyNXU work together

Onboarding and MyNXU aren't two products. They're one operating system. Each pain point is addressed across all three layers — onboarding intent, MyNXU surface, and the Student Advisor intervention reserved for the moments that matter.

05 · Where this leads

Two consequences

For scale

The team that supports thousands today supports tens of thousands tomorrow. Same headcount, structural shift in leverage.

For the learner

Counter-intuitively, the experience gets better. The routine 90% is instant. Human attention is reserved for the moments that change the outcome — career planning, retention coaching, hardship, the wobbles.

06 · Key terms

Glossary

Terms used throughout this prototype, defined in plain language.

SA
Student Advisor
The Nexford team member responsible for a cohort of learners — proactive outreach, advising calls, escalations, and relationship-building across the full programme.
SAP
Satisfactory Academic Progress
A formal academic standing review triggered when a learner's CGPA or course-completion pace falls below the required threshold. An 11-step process with named owners that can result in an academic plan, suspension, or dismissal.
LPV
Learning Path Verification
A scheduled 30-minute 1:1 session at Day 30 of the first course. Confirms the learner's elective choices and formally transfers them from New Enrolled Learner to Active Learner status.
SAN
Succeed at Nexford
The live group orientation session run in the first two weeks of a programme. Covers platform navigation, university community, and available support resources.
NEL / AL
New Enrolled Learner / Active Learner
NEL is the learner's status in their first phase (Team 1). After attending LPV and passing two courses, they transfer to AL status (Team 2) for the remainder of their programme.
LOA
Leave of Absence
A formal, time-limited pause in studies — typically one semester — that preserves programme enrolment and enrolment agreement status.
PW
Programme Withdrawal
A formal, permanent exit from the programme. Triggers a structured offboarding process and closes the learner's enrolment agreement.
CGPA
Cumulative Grade Point Average
The learner's overall academic average across all completed courses, tracked throughout the programme. The primary input into SAP assessment.
URC
University Review Committee
The escalation body for conduct violations, hardship exceptions, and serious cases. Reviews cases submitted via Freshdesk and issues a written decision within 5 business days.
LSA
Lead Student Advisor
Senior SA responsible for daily reporting, cohort-level monitoring, and coordinating escalations across the team. Generates the Power BI transfers report on the 15th of each month.
FASS
First Assignment Submission Success
The single most critical milestone in the learner journey — Days 1–10. Submitting the first assignment on time is the strongest positive signal in the risk model. Missing this window triggers immediate escalation and accounts for half of all learner churn.
Nexus
AI Persistence Engine
The AI system at the centre of the AIOS learner success operation. Monitors engagement signals continuously, intervenes autonomously when risk thresholds are crossed, and routes complex cases to Success Advisors — with full learner context and a recommended action attached.
